Office of the Associate University Librarian for Research and Instructional Servicess Public Services Policy Memo 8 Mail Delivery and Pick Up The Libraries Shipping and Receiving Department is responsible for all mail delivery among the libraries in New Brunswick and is linked to the libraries in Camden and Newark by daily mail couriers. In addition, this department picks up and delivers gift book collections, exhibit materials, and Special Collections and University Archives collections. Postage CostsRoutine Mail - Postage costs for outgoing mail that is generated by day to day operations is covered for the libraries in New Brunswick/Piscataway by the Shipping and Receiving Department budget and for libraries in Camden and Newark by campus budgets. Routine mail in support of the Libraries' academic and administrative activities would include such items as circulation notices and other circulation department correspondence, personnel mailings, and routine correspondence directly related to individual or departmental job responsibilities. Other Mailings - The Libraries will not absorb the costs incurred for large mailings related to professional organizations/newsletters, political notices/campaigns, grant supported projects, or advertisements for profit-making enterprises. Requests for exceptions to this policy must be directed to the Director for Administrative Services in advance of the anticipated mailing date. Deliveries/Pick UpsThe Shipping and Receiving Department staff will assist with gift, exhibit, and large collection acquisition located within a two- to three-hour drive of the College Avenue Campus. Consideration must be given to the size and volume of the items to be shipped. Arrangements are made at the convenience of the department and are scheduled to not interfere with the daily interlibrary mail delivery, which is given priority. Small Pickups - No van required, less than six boxes, off-campus Local unit staff should make arrangements to pick up the items without involving the Shipping and Receiving Department.
Medium Pickups - Library van required
Large Pickups - Rental van, overtime, and/or voucher employees
