Priority Orders for Current Monographs Ordered on Interlibrary Loan Procedures

  1. Identify and Order Current Imprint ILL Requests -- Local ILL Borrowing Staff.
    1. Search IRIS for current imprint monographs requested on interlibrary loan by faculty, graduate students, and staff. Use your judgement about textbooks and popular fiction, requests placed by undergraduates, and a series of current imprints submitted by the same patron.
    2. Search bn.com (barnes&noble) for order information. If not found on bn.com, search amazon.com. If you have a choice, choose the paperback (less expensive) edition. Use your browser's Copy function to copy the order information
    3. Check with your local ILL librarian (Robeson-Gary Golden or Theo Haynes; New Brunswick-- Judy Gardner; Dana-Natalie Borisovets) if you have any questions about whether to order a title.
    4. Fill out an online "Monograph/Firm Order Request" form, available on the Staff Resources Page under Acquisitions / Forms.

    In the "Copy & Paste BIBLIOGRAPHIC INFORMATION Here:" box, paste the item's bn.com 
    or amazon.com information.  If you did not locate the title on bn.com or 
    amazaon.com, copy and paste a bibliographic record from another source, 
    or as a last resort use the information provided by the user
    on the ILL-Request form.
    
    Type in the patron's name and the ILL-Request # at the bottom of the order information:
    
    User: "last name, first"
    REQ-"#"
    
    Press 
    
    Print a copy of the completed form on the screen.
    
  2. Place Priority Orders -- Acquisitions
    1. When Monograph Order Request forms and ILL Request forms are received, follow standard procedures for Priority 1 orders, and order with bn.com account if possible. If there is something unusual about an order (cost is greater than $100, for example), notify Judy Gardner
    2. Email the ILL contact as soon as an order is placed, or it is determined the item can not be ordered: "Priority order placed m/d/y for "User," "REQ-#", title." Or "Unable to order." See the Monograph/Firm Order Request form under "Notify" for ILL contact.
  3. Update ILL Request, Place RDS Request, Notify Jane Mihalick -- Local ILL Borrowing Staff
    1. If "unable to order" email message is received from Acquisitions, proceed with an ILL request for the title.
    2. If "Priority order placed m/d/y for "User," "REQ-#", and title" email message is received from Acquisitions, locate the order record in IRIS and place an RDS request on behalf of the patron. Note: the order record usually appears in IRIS the following day. Use pickup location given on original ILL request. It is important to do this immediately, so that another user doesn't see the "ON-ORDER" record in IRIS and place a Request ahead of you.
    3. Update the original ILL Request:

      Status: ILL-B-CANL

      Date: Today

      Reply: "This item was listed "ON-ORDER" in IRIS and was requested for you. Your ILL request was canceled and converted to an RU request. Updated information will appear in your SELF SERVICES files."

    4. Fax a copy of the and the Monograph Order Request form and the original ILL Request form with the RDS Request # notated on it, to Jane Mihalick at FAX: 732/932-7579
    5. The "A" Team and Acquisitions will follow standard procedures to process RDS requests for "ON-ORDER" titles; ship them to the user's pickup library when cataloged and processed, and notify the user if the order needs to be canceled.
  4. Maintain Log and Statistics - Jane Mihalick

    Jane Mihalick will gather statistics, record time sequences, and monitor fill rates for ILL priority orders for current monographs.

    1. After faxes from local ILL, enter the ILL and RDS Request numbers into a log. Once/week search Unicorn and update the log with following information.
