Marcive Established Guidelines for Unit Processing of Duplicate Records

  1. 1 full Marcive serial record and 1 full Marcive mono record for the same title (title is generally part of a series);
    Occurrence = infrequent.

    Solution: CSD staff will ask EC/SB for a decision on how to handle title; staff will then email VM/EL with instructions on which record to delete and why

  2. 1 full Marcive mono record and 1 temp Marcive mono record for the same title;
    Occurrence = often (due to discrepancies in the SuDoc call#)

    Solution: CSD staff will transfer all holdings (NBL and non-NBL) from temp record to full record, and then delete temp record

  3. 1 full Marcive and 1 full non-Marcive record of the same or different formats for the same title;
    Occurrence = infrequent

    Solution: CSD staff will email VM/EL asking them to merge records

  4. 2 full Marcive mono records for the same title;
    Occurrence = infrequent

    Solution: CSD staff will email VM asking her to delete one of the records

  5. 1 full Marcive mono record (for main bookset title) and multiple temp Marcive mono records (for each volume in the bookset);
    Occurrence = infrequent, mainly in fiche

    Solution: CSD staff will transfer all holdings (NBL and non-NBL) from temp records onto full record, and then delete temp records

  6. 1 full Marcive mono record and 1 brief SERMARPEN record [docs. librarian wants title to be cat as a serial];
    Occurrence = infrequent

    Solution: CSD staff will notify EL about dup records

  7. 2 full Marcive serial records for different formats of the same title;
    Occurrence = infrequent

    Solution: CSD identifies all holdings and then notifies EL for record resolution.
