Minutes of Thursday, August 15, 2002 Meeting

Present:

Acquisitions Report: MP reported that

• There is no backlog/no orders in queue in Acq., but selectors are holding many orders.
• No ordering is allowed until rollover accounting and allocations are done for 2002/03.
• Reserves, patron driven requests i.e., REMX and ILMX and approvals continue.
• RGS is waiting to free up funds through cancellations in order to start allocations for non-fixed-cost accounts. Fixed-costs have been allocated.
• All old orders, i.e., pre July '01 have been removed system wide. There were approx. 15 K old orders.
• Selectors initials (previously done in free variation) are being established. User profiles have been set up for Kevin Mulcahy, Ann Watkins, and Howard Dess.

Systems Report: Ann Montanaro reported that:

• Latest statistical information on database use can be found at t:/tsb/common/Montanaro/database statistics and eventually on the Staff Resources page: Administration/Committees and Task Forces/Assessment Committee/Report
• These electronic resource statistics do not include information on title use within journal packages, just total use of package. Title information exists and Howard has offered to mediate a group on statistical profile of packages. A CDC working group will be established with Howard as chair.

WAC

• WAC to be chaired by Ka Nag Au.
• Collection scope notes to be updated.
• Collection descriptions of libraries to be updated.

Budget: Bob Sewell

• Bob distributed a 14 page document of graphic/tabular information depicting collections expenditures in 2001/02 and the change/growth of collections and funds since 1998.
• Binding. Resources will be pooled from all units in order to centralize the binding function. Binderies are changing for some units. Even though there have been large-scale print cancellations, we are yet to see any savings as a result of less binding. We should begin to see this soon.
• The decision has been made to reduce simultaneous users for RLIN databases from 7 to 5, for a savings of about $10,000. If this proves inadequate, we can increase later.

Cancellations

• Cancellation lists from Howard Des (Duplication List), Ryan Womack (ABI-Inform) to be submitted to the units' tech service depts.
• Tom Glynn to supply the Muse list and Gale titles covered in the Literature Resource Centre. It was agreed that all print copies would be cancelled.

Goals

• Using a consensus building methodology (normative technique), the CDC members set a list of goals considered important for the 02/03 year. Goals follow:
