Minutes of October 9, 2004 meeting

Minutes

1. The previous meeting minutes will be reviewed at next month's meeting.
2. Serial within a series -
   • The group reviewed a draft of the Serial Within a Series document. Elizabeth offered suggestions about how to identify serial titles that fall into this category, such as: a specific date or edition on the cover; a ‘year' in the title area; if the volume is an annual report; information in the introduction of the volume; check in the Series Authority File for possible treatment. Ellen and Bob will incorporate some of these ideas into the revision of the serial within a series document. When finished this document will be posted to the gov docs web page.
3. Bound-withs
   • The process of handling Bound-Withs (bound volumes containing issues from two or more separate bibliographic records) was discussed. We are curently not binding anything together as bound-withs (docs or non-docs). However, many existing backruns contain volumes that could be dealt with as bound-withs. More discussion is needed regarding how to handle these situations: not deal with at the moment, separate the pieces out and rebind, or process as bound-withs.
   • Melody has updated her Bound-With PowerPoint presentation and will send it to Andrew for posting to the Holdings/Record Management web page.
   • Elizabeth said she would ask Bob Warwick to add RU-ONLINE to children of Bound-With titles.
4. SuDoc class cheat sheet –
   • Ellen is working on a draft of a document describing SuDoc classification numbers. It will incorporate examples of how to compose SuDocs for various types of bound volumes.

Assignments

1. BH – will send MON-NEW and MON-SER processing procedures to AR for posting on the Gov Docs web page.
2. BH, EC – will add another section (call# delineation) to the existing Serial within a series document
3. BH – will send updated Serial within a series document to FEDDOCSCAT list.
4. MT – will send the revised Bound-With PowerPoint presentation to Andrew for posting on the Holdings/Record Management web page.
5. EL – will ask Bob Warwick to add RU-ONLINE to children of Bound-With titles
