Minutes of March 20, 2007 meeting

1. Minutes for February were approved, followed by a brief explanation about the use of Discard and BATCHWITH.

• For the most part, DISCARD is the preferred method for withdrawing items from IRIS, except in cases where it is advantageous to use BATCHWITH, such as in the Weeding project.
• Changes and the preferred method will be updated in the Withdrawal procedures document.

2. LOCALMAINT

• Reviewed Andy and Jamie’s documentation for LOCALMAINT.
• Andy wanted to know if it was ok for branch mangers to change location to LOCALMAINT and add notes if they needed to, group agreed that was ok, as long at they first speak with appropriate staff in DTS for approval.
• Questions arose about the use of the J-client and the use of a CIRCNOTE instead of or in addition to a staff note for items being changed to LOCALMAINT. Also there were questions about the discharging of items with a location of LOCALMAINT, does it have to wait until it is discharged at the owning library or would a CIRCNOTE make it possible for the item to be routed to DTS as soon as it is discharged, regardless of the library it is being discharged at?
• Andy agreed to further test the use of LOCALMAINT, both with STAFF and CIRCNOTES and in both J-Client and our current version of Sirsi unicorn workflows.
• The whole group agreed there is a need for an entirely separate document for TECHSR. A document explaining what it is used for and how to use it. When and who will create this document was not yet determined.

3. Serials Inventory Project Status

• Chemistry and Chang Library are done with Phase II. Physics is almost done with phase II. Others have made a good start.
• LSM and Alex are currently working on phase I. Alex has 288 titles done, representing 13% and LSM has 322 titles done, representing 25%.

4. Update on LSM Weeding project

• To date, 36,217 have been pulled, 39,796 have been processed since the project began. Original goal of 35,000 books has been achieved. The project will now continue but at a much slower pace, about 500 books a month.

  5. Update from TSCWG

  • Discussed confusion about crossover work from DTS to Cataloging. DTS was sending books to Cataloging that had been entirely withdrawn from Iris, most likely they were Lost/Long overdue or Missing items. DTS was sending them over marked as “reinstates” which means something completely different to staff at TAS. “Reinstates” is a term used for serial subscriptions, should not be used for re-cataloging titles that have been withdrawn.
  • The Holdings group and Cataloging need to determine a set terminology for addressing these types of problems
  • Andy will also stress the importance to Access service staff, about including patron record notes on the Problem tickets for material being sent to DTS that is lost/long overdue. This way DTS staff can easily recognize the material and handle accordingly.
  • Susan and Melody will work on writing up a search criteria for lost/long overdue material or items not found in catalog.

  2. Melody and Susan create a Search criteria for items not found in catalog.
