The December meeting was held as a holiday gathering at the Old Man Rafferty’s restaurant in New Brunswick. Nita was pleased to see that so many members were able to join for lunch.
The group reviewed its goals for the year at this halfway point and the progress it has made in each area. We based our review on the annual report for 2004/05.
Darryl from Imaging Services presented a breakdown of the filled RDS ARTICLE requests through the first half of FY 05-06. The group appreciates Darryl’s report at this meeting and his continuing contributions.

The group was reminded that Hungarian Library materials are handled by the ILS department so all returns should be addressed to ILS-ALEX.
There are four UPS sites for PALCI at Rutgers University Libraries. The group was again reminded that PALCI materials should be returned to one of these sites and should not be shipped to Alexander Circulation or Alexander RDS. A cheat sheet was distributed to the group with detailed information.
When making PALCI/ILL items available for pickup, RDS staff needs to pay particular attention to the name that comes up on the screen and make sure it matches the name printed on the belly band. The names on the belly band are printed based on the record used to place the ILL and PALCI requests. When the item is received from the lending institution, a hold is created for the item. Especially in the case of RA records where the professor’s name is linked to both their personal record and the RA record, it is possible for a hold to be placed using the wrong patron record. When RDS staff try to make the hold available, instead of the professor’s name (which would match the name printed on the belly band), the joint professor’s name/RA name appears in the hold window.
ILS should be contacted whenever there is a question as to for whom an item should be on hold.
Darryl/Imaging Services: He confirmed that the “Note” field in Ariel is captured in the report. RDS staff uses this field to note any requests that are more than 30 pages long so that the patron’s account can be billed accordingly by Imaging Services. He also spoke of Infotrieve in regards to some problems LSM has been having with their Ariel scanner. It’s estimated that a new scanner will be available for LSM by the end of January.
Carolyn/Dana: She needs envelopes for sending out PALCI but Dana RDS does not have an account for purchasing these supplies. She currently shares supplies with the ILS department. Nita will investigate the situation and get back to her with an update.
Nita/Douglass: The University has decided to purchase Sirsi Director’s station, a customized tool. In the spring, it should become available to staff.
Next Meeting: The next meeting will be held at Kilmer Media on Tuesday, January 31st.
