Addie Fuller has moved into a new position at Robeson in Collection Services. A new representative from Camden will be announced after the student coordinator position is filled.
As this was the first week of the new ClockTrak and TimeTrak systems group members shared their questions and concerns. Rose discussed some minor problems to look out for including possible errors in department or library codes due to the manual input of the data (data did not transfer over from the old system). For example in some cases instead of REG code, OT was showing. Coordinators should watch for these problems and report them to the Budget Office.
Rose mentioned that everyone should have a list of RUIDs issued by the Budget Office and should check these for accuracy when entering manual punches for the time the system was down.
There was an issue with students changing their PIN numbers for the first time. It seems changing PIN before punching in works best. Group members reported some problems with this process of changing PINS. Rose reminded everyone that reason codes apply for any manual adjustments we make beginning 03/02 and also that hourly employees issued a code beginning with zeros may omit the zeros when punching in and just use the last 4 digits.
All group members had tried the RDS and Call number quizzes set up in WebCT. The consensus was that both quizzes would be useful for student training purposes. Some members found the wording of the RDS quiz a little unclear in parts, which may present difficulties for some students. The call number quiz will be very useful. The Circulation Group is working on a quiz for student circulation training. Rose mentioned that the files still remaining in her section of WebCT will be deleted soon. Everyone had transferred out files that they owned. Rose also reminded everyone to specify a unit when adding students to a WebCT course, so that everyone knows where the students are located, and to delete students when they leave our employ.
It was agreed that all Coordinators would conduct a review with their students in March. This need only be a brief conversation to raise any issues/problems, provide feedback on performance and review our expectations. The evaluation form may be used as a guideline. Georgina has done all her evaluations and reported that they had gone very well. The issue of evaluating students who work in the evening and at weekends and who Coordinators only see infrequently was discussed.
Student appreciation week will be the second week of April. Roger sent Rose an e-mail requesting a list of any appreciation events held during student appreciation week with an estimate of out-of-pocket costs incurred. The group discussed whether to have a party for all students or whether to give out a small gift like movie tickets instead. This will be discussed more and a decision made at the next meeting.

Rose announced that the job application forms for students require editing and will be sent to Charlene for review. The online application revision process is still in progress. Chiaki reported that a Douglass student employee had gone missing from campus for several days.
