Minutes of February 7, 2007 meeting

1. Announcements

Rose asked if everyone had been able to attend Nancy Hendrickson's meeting in January, to review payroll procedures. Rose had not been able to attend due to vacation. Most group members attended and found the meeting particularly useful as a review of how to use sign- off, approval and time card reports to ensure accuracy in payroll sign-off.

2. Mid Year report and overview of current projects

Student Employment Resources Site update - A subgroup which formed to work on this project met and developed some questions regarding the project. It was decided to begin gathering the information we wish to put on the site and to put the online application form on hold for now. We need to put together a proposal to present about placement of this information on the library website.

Customer Service Training - we will coordinate with the Michele Tokar's Circulation Group to work on this. Maybe using Captivate or some other interactive approach would be best. Captivate is currently installed at Douglass. We will need site-specific training. We need to formulate a plan before the end of the fiscal year.

WebCT to Sakai, discussion covered in item 4.

3. New online FWS website and job requests

Student Employment had a workshop in January to introduce changes to the FWSP. Job requests and descriptions must now be submitted online at their website, instead of in paper format. The same information is required as was on the printed form. Rose will be meeting soon with the RUL payroll personnel and will report back any further developments. One change is that now we may submit the names of students we do not wish to take back the next semester. Otherwise, unless students request re-assignment, they will return to the library.

4. Sakai training and testing quizzes

Rose attended a workshop on Sakai. It looks very different WebCT, the interface is not as visually pleasing, but can perform most of the same functions. We need to move our information over from WebCT. Quizzes can be moved over and will work but permission for this has to be set up, as it is not a standard option. Sakai has two modules, Meetings and Courses. We need to use aspects of both. We will lose the ability to only make certain information available to certain people. It may be best to set up a generalized information space instead of each branch designing its own interface. Rose will test the ability to move what we have on WebCT to Sakai.

5. Circulation Quiz for students

This quiz created by the Circulation Group was discussed. It was agreed that in the main the questions were unambiguous. This will be a useful tool for training students on Circulation. Each branch can adapt it for their individual needs and situation.

6. Student of the Year nominations

Student of the Year nominations are due. Rose plans to nominate 2 or 3 students. Marc has nominations for LSM. All nominated students attend a banquet in their honor.
