Minutes for April 3, 2002 meeting

Present:

Gracemary Smulewitz, Ned Richards, Kayla Reichardt, Christopher Sterback, Mary Page, Paul Cabelli, Iliana Bernal, and Theo Haynes (Conference call).

Gracemary reported that 10,000 titles have completed Marc Holding record's system wide (including BOUND & CURRENT holdings).

She also:

• outlined standards within Marc Holding Records for the following items: “Supp”, “Index“, “Special Issue“, “Cum.“
  • asks that MARC Holdings implementation Statistics must be done at all units to determine how much time is needed to complete the Marc Holdings Project.
  • did agree that all Marc Holding records would utilize sentence case (i.e.|z “Current year only“, etc.
  • did agree to distribute Marc Holdings standards for indicating missing issues in 863 Marc Holdings fields.

• Paul Cabelli agreed to create sample records with a delimeter z field indicating missing issues.

• Chris Sterbeck reported that Systems has get to find a pathway for transferring data from 930 fields into the MARC BOUND holding records

Each unit reports that CURRENT Marc Holding Records are nearly completed but that the BOUND Marc holdings are generally behind CURRENT holdings in completion.

It was agreed that reports would be created for the various units that would indicate control records that contain no vendor information.

It was agreed that for “Current issue only“ the 930 shall be removed with appropriate notes made in the 852 MARC Holdings record

It was agreed that for ceased titles, the 930 shall be removed and an 866 created to indicate that the title has ceased

It was agreed that all units would analyze their control record template's to determine which should be eliminated and/or used to help implement the MARC Holdings project

No conclusion was made concerning use of “Yr.“ Vs. “Inc.“, or otherwise, for the added bound volume records displayed on IRIS
