New Titles in RUL: Basic Workflow
Note: For items received through the Federal Depository program, follow established
MARCIVE procedures
A. New Subscription:
When the first issue of a new subscription is received,
- Control record is reviewed for proper information, including pattern, expected
issues, subscription beginning dates, etc.
- Issue being sent to Serials Cataloging is indicated by 'Sent to Cataloging'
note in a MARC Holdings 866 tag.
- A Serials Cataloging Worksheet, listing all precat and post cat processes
specific to this title, is filed in the department.
- New title information is added to the Bib/Cat Excel Database located on the Alex T:drive.
- A precataloging package is prepared for Serials Cataloging. This includes a
Serials Processing Form, any necessary bibliographic utility printouts, and the
first issue of the new title.
- Serials Cataloging updates IRIS record and sends material back to the department for standard postcat processes.
B. Retrospective Conversion (RECON):
When an existing title's cataloging needs to be converted to online cataloging,
- Brief record is created in IRIS for the new title.
- Issues being sent to Serials Cataloging are indicated by 'Sent to Cataloging '
notes in the MARC Holdings 866 tags of the new title. Any bound volume
being sent to cataloging also has its Current Location changed to 'IN-
PROCESS'.
- A Serials Cataloging Worksheet, listing all precat and post cat processes
specific to this title, is filed in the department.
- New title information is added to the Bib/Cat Excel Database located on the Alex T:drive.
- A precataloging package is prepared for Serials Cataloging. This includes a
Serials Processing Form, any necessary bibliographic utility printouts, and the
issues being sent for cataloging.
- Serials Cataloging updates IRIS record and sends material back to the
department for standard postcat processes.
Addendum: New Titles Initiated in Serials Cataloging
These generally fall into two types:
- Titles discovered when cataloging another title sent to serials cataloging - this may be hidden inside the issues or film or disc of the original title.
- Titles discovered when a new, separately ordered, monographic item is received in Acquisitions and is determined to be a new serial title. This latter type is generally brought to Serials Cataloging from Monographs Cataloging.
Cataloging Workflow
- NT is created; item created for item in hand.
- Copies of bib record are sent to Bib/Cat staff owning the title with instructions to add MARC holdings, control, and items, if applicable, to title.
