MARC Holding and Local Shelving Notes for CAT/SEP and CAT/SET/A Titles

Basic information:

At RUL, changes and variations in local classification treatment of serials are reflected in the 852 |z and 928|a notes, both of which are variable fields. The information given in a MARC holdings 852 note and the 928 note should be the same, although the wording will differ as outlined in the examples below.

Both 852 and 928 notes should be specific and instructive. If the treatment decision is specific to one or more libraries, the 928 |l [location]should name the libraries. If the note is true for all RU libraries, RUL may be used in the |l.

In current cataloging practice, a title will be treated in the same manner for all of RUL, and consistent for all volumes. It should not be a mixture of cat/sep, cat/set/a, and cat open entry. In the past, however, many titles were cataloged using a mixed treatment. These titles will not be routinely recataloged; treatment decisions will be outlined in the notes, as follows:

Scenario 1:

The cataloging treatment of a serial title changes to cat/sep (from a specific point forward). For example, with Volume 25 onwards:

852 |zV.25- 2003- Vols. cataloged individually. Search IRIS by title.

928 local shelving note: |lRUL|aVolumes for 2003- cataloged separately.

Scenario 2:

The cataloging treatment of a serial title changes to cat/set/a (from a specific point forward). For example, with Volume 25 onwards:

852 |zV.25- 2003- Vols. cataloged individually by title and located at Call <#>,

928 local shelving notes: |lRUL|aVolumes for 2003- cataloged separately and classified as a set at: ,

Scenario 3:

The cataloging treatment of a monographic series changes from cat/sep to a serial (from a specific point forward). For example, with Volume 11 2001 onwards:

852 |zVolumes prior to Vol. 11 2001 cataloged individually. Search IRIS by title.

928 local shelving note: |lRUL|aVols. 1-10 cat sep.

Scenario 4:

The cataloging treatment of a monographic series changes from cat/set/a to a serial (from a specific point forward). For example, with No. 12, 2001:

852 |zVolumes prior to No. 12 2001 cataloged individually by title and located at Call <#>,

928 local shelving note: |lRUL|aNo. 1-11 cataloged separately and classified as a set at Call <#>,

Scenario 5:

A serial title contains occasional analytical volumes which are treated as cat/sep.

852 |zSome volumes cataloged individually and classed separately. Search IRIS by title.

928 local shelving note: |lRUL|aVolumes with distinctive titles are cataloged separately.

Scenario 6:

A classed serial title contains occasional analytical volumes which are treated as cat/set/a.

852 |zSome volumes cataloged individually by title and shelved with the serial.

928 local shelving note: |lRUL|aVolumes with distinctive titles are cataloged separately and classified as a set at Call <#>,

Scenario 7:

Conference serial title with occasional individually analyzed conferences having distinctive titles.

852 |zSome volumes cataloged individually by title and located at: at Call <#>, <designator, i.e. v.,

928 local shelving note: |lRUL|aConferences with distinctive titles are cataloged separately and classified with the conference call # at: ,
