Minutes of September 19, 2006 Meeting
- Present:

1. Systems Update
- Current priority is to get the drivers for the new copiers
installed on both staff and public machines with the higher
priority being given to public. Driver installations should
be completed by the end of the month.
- Work on the new PC allocations will begin the last week in
September Anne B. has received allocation lists from NBL and
Special Collections.
- In working on machines after the worm and bot issues in
August, it was noticed that many monitors in the public
areas are not working well. Please put tickets in for
monitors on which the colors seem to be off or the screen is
scratched. Systems has CRT monitors available that can be
used for these replacements. Also, when cleaning the
monitors a soft cloth as opposed to paper towels should be
used, doing this will minimize the scratching of the screens.
- Coordinators should use the Trouble Ticket system when they
solve a local problem themselves. Doing this will give a
more accurate reflection of the number of issues that arise
as well as giving a record and resource for resolving issues
that are experienced “locally”.
- ILL Manager update is slated for October. The first engine
to be updated will be Alex ILS.
2. Trend Micro Issues
Unfortunately, Systems is still not certain how the worm and bot that
caused the problems in late August got past the security software
installed on the public machines. In an effort to put another safety net
in place against such issues arising in the future, the public networks
will be moved to private address space in the near future. At some
point, all appropriate staff machines will be moved to private address
space also. However, this move will not be slated to begin until
sometime in the spring of ’07.
3. Old/New Business
As a reminder, if a user is unable to open Thunderbird because his space
allocation is full, then he can go into Webmail or Pine and delete some
(preferably large) files to allow Thunderbird to function again.
Anne suggested we present lunchtime information sessions on common
problems with email such as filtering spam and managing quotas. Matt
volunteered to look into this.
Darryl will email an FAQ on the new copy/printing setup and the color
copy/printing option.
4. Future Meeting Dates
The next meetings are scheduled on October 17 and November 21 at 10AM in
the TSB Conference Room.
