Information Sharing

Andy (Coordinator): Andy plans on submitting the 2008 order for water emergency supplies this month. Please forward your supply list to Andy as soon as possible.
Due to a project that DTS staff are working on, there will not be a shadowed project for CMG staff to work on this year. DTS staff are actively working to process a large shadowed list for the libraries.
Andy is working on compiling the “Aged TECHSR Items Project” for RUL staff to work on. Lists of items should be forwarded to CM staff for searching in early November.
The CM section of the Staff Resources Page has been updated with three new documents.

Elsa (Dana): Elsa reported that Dana staff are currently planning for two shifts, one in the Stacks Collection and one in the Bound Periodical Collection.

Mary (Alexander): Mary distributed a draft of range guide that will be used for the Government Documents Collection at Alexander. She reported on a new “Folio” collection that will be used in the Gov. Docs. collection. The shift of the Bound Periodical Collection continues.

Kim (Kilmer): Kim will soon meet with her project mentor for the Serials Inventory Project. She has revised the range guide information for the Bound Periodical Collection. Kim recounted her experience with discovering a book with bug eggs in the collection.

Rob (Alexander): Rob reported that work on the Bound Periodical Collection shift continues. He also reported on a change of the Alexander workflow dealing with moldy items. He has spent time this month with collection management training for new part-time employees.

Bill (Kilmer): Bill is working on incorporating the daily CM workflow for the Music Library into his daily work. He has spent time this month with collection management training for new part-time employees.

Shirley (Alexander): Shirley has reported that the new workflow for “in-process” items has simplified the process. The new workflow uses the “Receive Transit” wizard to process the item.

Brian (Alexander): Brian discussed how the new item types are impacting our cir-on-the-fly procedures.

Eddie (LSM): Eddie reported on the mini-shift of the Bound Periodical Collection located on the 3rd floor. He has updated the draft of the Pest Awareness site for group members to comment on.

Melody (DTS): Melody reported on the Serials Inventory Project for NBL. She is also working with staff to create a workflow for items that are stamped “Do Not Circulate” but have a circulating item type.

Paul (Alexander/LSM): Paul reported on a mini-shift of the Doc-NJ and Doc-US collections at the Alexander Library. He is working with the Gov. Doc. Selectors to revise the standard range guides for use at Alexander and LSM.

CMG Goals for 2008-2009

The group discussed a draft of the goals for 2008-2009. The goals included potential work on weeding and shifting projects, the use of technology (inventory, shelving tags, etc) and reports for project work, and training opportunities for CM staff.

Andy asked for the group to forward any additional goals to him by the 3rd week in October. Once finalized, the CMG goals for 2008-2009 will be posted to the CM section of the Staff Resources Page.

Stack Guide Charts – Eddie Suarez

Eddie discussed a chart that he created that lists the specific items that are located in each range in LSM. The Stacks Collection, Folio Collection, Reference Collection, and Bound Periodical Collection in the library now have standard range guides installed. Knowing the first and last item shelved on each range, Eddie was able to create a chart with that information. The chart is the natural extension of using standard range guides.

The chart will be shared with Access Services staff and Reference staff. Staff will be able to use the chart to direct patrons to the specific range in the library that contains the item they require.

Water Damage Video

The group spent 10 minutes watching a video titled “Coping with Water Damage” available through the Heritage Preservation web site. The video provided step-by-step guidance on dealing with water damage.

The video was informative and confirmed many of the practices that CM staff currently use.
